- Receive the authority to recruit from relevant manager, and ensure is authorised by relevant parties
- Responsible for the whole recruitment process within LabourNet group
- Draw up new advertisements template
- Advertising of all new positions on all relevant career sites (Pnet, Career Junction, Best jobs, Gumtree, etc.) and LabourNet website
- Remove all adverts immediately after vacancy have been filled from all job portals
- Screen incoming applications telephonically
- Short listing of candidates and send screened CV’s to relevant Regional Manager
- Setting up of interviews between candidate and relevant manager/s
- Conducting interviews with the Regional Manager
- Setting up relevant assessment for all shortlisted candidates as requested by the relevant manager after interviews have been conducted.
- Complete reference checks & background checks for every candidate that has been shortlisted.
- Send regret emails to unsuccessful candidates.
- Load all activity on the recruitment sheet on a daily basis.
On-Boarding
- Drawing up contracts and ensuring that all documents according to the HR checklists are received before an appointment is made.
- Prepare induction manuals and schedule induction for new employees
- Ensure that all new employees have a signed job description within 1 week of the commencement date.
- Schedule flights and accommodation for relevant newbies in the outlying branches.
- Ensure that new employees have cell phones and laptops issued to them.
Records Management
- Effective record keeping of all personnel files.
- Maintaining restricted access to personnel files.
- Maintaining updated filing for audit trail purposes.
Training and Development
- Gathering, capturing and submission of information for the Employment Equity Plan and submission of annual EE Report.
- Gathering, capturing and submission of the information for the Workplace Skills Plan and Annual Training Report and submission of annual WSP ATR.
- Gathering, capturing and submission of the information for any other required HR report submissions.
- Prepare induction manuals and schedule induction for new starters.
- Apart of the Employment Equity Committee.
HR Systems
- Regularly audit the HR system to ensure that information is accurate, relevant and available
- Accurately capture information into the HR system based on the daily, weekly and monthly requirements of the HR Department.
- Load new employees on Psiber system.
- Link new employees on ESS System and send them their login details.
- Ensure that all bonus and increases submitted for employees are calculated correctly for payroll purpose.
Performance Management
- Monitor and ensure that performance appraisals are completed by the 7th of each month
- Liaise with management regarding new performance appraisals for staff.
- Create and maintain reports regarding performance management.
- Maintain/Create new job Descriptions when necessary.
Industrial Relations
- Draw up and issues warnings according to the companies disciplinary policy.
- Conduct Poor Work Performance sessions with underperforming staff.
- Compilation of Poor Work Performance documents.
Administration
- Inform IT of new starters.
- Handle all queries relating to cell phones and 3G’s
- Ensure all required exit documentation is complete such as UI-19, UI-2.7, etc.
- Conduct exit interview.
- Submit leave payouts, medical aid termination and submission of provident fund termination forms.
- Handle all queries from employees regarding the ESS System.
- Confirmation of employment.
- Constantly communicate with allocated branches, offering support and assistance if need be
- Prepare annual increases for employees.
- Send increase and promotional letters.
- Update career tracker sheet on monthly basis to ensure that all employees are on par as per career path.
