Reporting to the Ops Manager

Job Profile:

Responsible for managing the dispatch employees, ensuring that the customers receive the correct order as per the picking slips and ensuring efficient dispatching Responsible for stock rotation according to FEFO & FIFO as well as stock takes of products in the fats and bones freezer

Key Performance Areas: 

Duties and Responsibilities:

Daily:

a. Receiving picking slips and factory shop requisitions from the sales department.

b. Selecting stock of as per the picking slip for dispatching the next day.

c. Ensuring that all orders are picked, scanned and weighed correctly.

d. Responsible for correct loading and dispatching of all orders as per the picking slips.

e. Checking that trucks conform to pre-loading requirements before loading commences.

f. Responsible for the preloading of trucks when necessary and ensuring that the correct documentation has been completed and issued (Halaal, movement, QC documents).

g. Confirming picking slips with sales at the end of the day.

h. Sealing of trucks with security seal and completing seal register and all necessary documents.

i. Ensure there is no unnecessary delays in dispatching.

j. Responsible for ensuring that the department is thoroughly cleaned and sanitized as per the company’s procedures. Ensuring all Halaal orders receive the necessary Halaal inspections and that Halaal documents are issued.

k. Ensuring product safety by locking all chillers and freezers and safe keeping of keys with the deboning manager.

l. Manage staff in the department and ensures discipline and adherence to Hygiene code of conduct and company policies and procedures.

m. Verifying that the PERSONAL HYGIENE FITNESS CHECK LIST has been completed in the morning before production begins.

n. Management of staff in the department and ensure discipline and adherence to Code of conduct and company policies and procedures.

  • o. Ensuring that all preloaded trucks are allocated loaders and leave on time between 06:30 & 07:00.

p. Treat customers in a friendly and efficient manner.

q. Check the integrity of vacuum bags, boxes, and crates before dispatching.

r. Communicate continuously with sales regarding any shortages of stock or if stock picked does not correlate with stock ordered.

Weekly:

s. Completing stock take of frozen product in the fats and bones freezer and investigating and addressing any variances.

Ad Hoc:

Ensuring all employees training needs are met in conjunction with the Training officer and responsible for submitting completed training forms

Receiving returns, completing returns documents and reporting the returns to Quality Assurance manager. Responsible for ensuring that Chief Meat Inspector’s final decision regarding the returned stock is adhered to.

Complete job cards and report to maintenance manager.

Report computer or electronic device problems immediately

Loading export orders.

Ad hoc work can be allocated at any time as per the discretion of the director or office manager, responsibilities are not limited to the responsibilities listed and more can be added as long as they are lawful.

HR Duties:

a. Checking and sign off of time sheets.

b. Attending disciplinary hearings as a committee representative (if and when required).

c. Requesting the issuing of verbal and written warnings and notice for disciplinary.

d. Completion of leave forms prior to leave being taken.

e. Completion of pass-out forms.

Any other duties that may be required from time to time on request of the General Manager and/or Directors or any other member of top management

Formal Qualification: Matric certificate,

Vehicle license

Computer literacy

Stock control and monitoring experience
